For the fourth consecutive year, my endurance fitness club (Hill Country Multisport - "HCMS") is hosting the pre-race mixer for the fourth annual Kerrville Triathlon Festival in Kerrville, Texas on Friday, September 26, 2014 from 7-9 PM. This triathlon festival is a two-day affair (September 27-28) with one triathlon distance ("sprint") held on Saturday (9/27) and two distances ("quarter" and "half-iron") held on Sunday (9/28). Ours is a welcome party open to all race participants, friends and family who will be traveling to Kerrville that evening, picking up their race packet at the race expo and then racing on one of the next two days.
We are changing many aspects of this event from past years (old fliers are attached for context and some repeating information.) Previously, this has been a complete free party with donated hors d'oeuvres from multiple local restaurants. This year, however, we will be hosting a full catered buffet dinner for $10. (Menu attached). If they wish to attend but do not bring the postcard, the cost is $15. (50% discount with card, etc...) Instead of using the past venue (gather by Grape Juice's), we will be holding the event at Rails, A Cafe at the Depot (http://www.railscafe.com/) in their historical "House of Beitel" event hall (http://www.railscafe.com/catering.html). The time has also been adjusted.
In addition to water and iced tea, we will be providing free beer from an HCMS sponsor, Pedernales Brewing Co. We will also be giving away raffle prizes (donated by Gotta Ride Bikes: http://www.gottaridebikes.com/) every half-hour (at 7:00, 7:30 and 8:00 PM) worth $1500+ in total (full list of prizes attached). Participants must be present to win/claim raffle prizes. Rails, Gotta Ride Bikes and Pedernales Brewing Co. have given permission to use their logos for this event if necessary and beneficial. The race organizer, High Five Events (http://www.highfiveevents.com/) has approved use of the Kerrville Triathlon logo and theme.
The main aspects of the event are: 1.) a full meal for $10, 2.) free beer, 3.) the raffle prizes and 4.) a sign-making station, where people will be able to make signs to support this weekend's racers. (We will provide the materials). All attendees must purchase a meal to enter.
Our goal is to develop a two-sided *Oversized* (8.52 x 5.47) Vistaprint postcard, with an attractive color design and all the main information on one side and a basic black and white backside, which would ideally be split between a basic map of the restaurant and an RFID with the Rails Event Hall location in Google Maps. Our preference is to open a mobile phone map application, but a browser map is acceptable. I don't know if this is feasible and practical. I would like reference to the map on the front side. We would like to emphasize that Hill Country Multisport is sponsoring the event. (Logos attached). I approve using my club email address for questions: bart@hillcountrymultisport.org. We prefer the club's orange and black theme and something fairly modern-looking, but are flexible on the design, everything but the text content. A "Golden Ticket" (Willy Wonka) theme might also be appealing, especially as gold closely resembles the color scheme of the race and we could emphasize the card requirement.
Feel free to use all past information, unless I've specified a major change (time, food, etc.) We are leveraging the oversized postcard format but don't need address/stamp spaces, and this will not be mailed out. We will be including these out inside race swag bags. This design will also be included in the race program (p. 11 at http://www.scribd.com/doc/170852019/Kerrville-Triathlon-Event-Guide-2013).
